Why you shouldn’t run your business on your personal cell phone

Phones, headsets & apps — IBeXc guides for Alaska businesses

A lot of Alaska businesses start the same way. One person, one cell phone, one number printed on the truck, the business cards and the website. It’s simple, it’s cheap and it works, for a while.

Then the business grows. You hire help. Customers call at all hours. And that personal cell phone starts causing problems that are hard to see until they cost you something.

The hidden problems

Your personal number is on everything

Once your cell number is on your cards, your vehicles and a few hundred customers’ contact lists, it’s there for good. Every customer, vendor and cold-caller can reach you directly, at any hour. Changing it later means reprinting everything and hoping customers notice.

If you ever sell the business, that number is part of what makes it valuable. It’s awkward when the number customers know is the owner’s personal cell.

No hand-off when staff leave

The same problem multiplies with employees. When your crew calls customers from their own cell phones, customers save those numbers. The next time they need work done, they call the employee directly, not the office.

That skips your scheduling and your on-call rotation. And when that employee moves on, a share of your customer relationships goes with them. The customer calls a number that no longer belongs to your business and may never find its way back to you.

Lost calls

A personal cell phone has one person behind it. If you’re on another call, in a meeting, under a truck or out of coverage on the Seward Highway, the call goes to your personal voicemail. There’s no second person it can ring, no queue, no after-hours plan. Many callers won’t leave a message. They’ll call the next business.

Work never ends

When the business number and the personal number are the same, you can’t tell a customer call from a family call until you pick up. Evenings, weekends and vacations all get interrupted. Over time, that’s a fast path to burnout.

The fix: a business extension on the same phone

You don’t need to carry two phones. You need a real business number that lives on a business phone system, and an app that puts it on the cell phone you already have.

That’s what the Bria Enterprise app does with IBeXc. Your business extension runs in the app on your cell phone, tablet or laptop. Here’s what changes:

  • Customers call the business number, not your personal one. Your cell number stays private.
  • Outbound calls show the office caller ID. When you or your staff call customers from Bria, they see the business number, so they call the business back.
  • Calls can ring more than one person. The main number can ring you, a partner and the office at once, or go to a call queue that holds callers until someone is free.
  • Business calls follow business hours. With after-hours routing, calls to the business can go to voicemail, an on-call person or an answering service at night and on weekends. Your personal calls still come through as normal.
  • Staff come and go; the number stays. When someone leaves, we remove their extension. Customers keep calling the business and reach whoever is there now.

If you add desk phones later, the app and the desk phone ring together. Nothing about your number or setup has to change. We explain how that works in Your office extension on your cell phone.

What about my existing number?

If customers already know your business number, we help you keep your existing numbers when you move to IBeXc, so the number on your truck and cards can keep working. If all you have today is your personal cell number, we can talk through your options for moving to a dedicated business number over time.

A good fit for small and growing teams

This setup makes sense for:

  • Owner-operators who want evenings back.
  • Contractors and service companies with crews in the field.
  • On-call businesses that need calls to follow the rotation, not someone’s personal cell.
  • Growing teams hiring their first employees. See Hiring remote staff: giving them a real business extension.

How IBeXc helps

We set up your business extensions on our hosted system, program how calls ring during and after business hours, and help install Bria on the phones and computers your team uses. Each person can run Bria on up to three devices. Our local team in Anchorage does the design and programming for you, and there are no long-term contracts, so you can change the setup as your team changes.
